UPDATE 08.31.24
- Be sure to give enough time to park, get through the convention center to the lobby of Exhibit Hall B. Once you arrive to the lobby outside Hall B, please text the SWO Admin on shift and they will bring out your badge to you.
- If you are attending for just one or two days, please be sure to return your badge to Missy Thingelstad (or SWO Admin on shift) at the end of the day. The badges are being spread out/shared for use of all days. This is how we were able to allow single or two-day pricing.

WHAT AREAS CAN A NON-MEMBER/SPOTTER HELP OUT:A non-member can sign up for Raffle Table, Booth Support - all restrictions are noted on the sign-up sheet
BADGE INFO
- We are asking for a minimum of two hours of booth support for Friday/Sunday and three hours for Saturday if you are requesting a discounted badge
- The deadline to sign up for a discounted badge is by 5pm Friday, August 16th and payment by 5pm Friday, August 30th
- We will put updates at the top of this page as it gets closer to let you know who to contact and where to meet for badge pickup upon your arrival
WHAT WE HAVE
- We are working together with other Star Wars groups, such as the Mandalorian Mercs and Saber Guild, to bring a larger Star Wars Experience. We will not be on the con floor, but rather in a specific area that will give us a much larger footprint.
- Same location as last year, B113-B116
WHAT WE ARE DOING
- With the expanded space, we are looking to incorporate more props this year
- A full layout and descriptions of the various areas within the experience will be posted soon as the exact layout is still being constructed
WHAT WE NEED FROM YOU/HOW TO SIGNUP FOR A SHIFT
- Help staff the booth! Here is the link for signups: https://docs.google.com/spreadsheets/d/1rFOHPM_bAdfCSs81UwNLTwYSgcBvPIxpXeYcvW1y0sI/edit?usp=sharing
- Try not to exceed more than 2 hours in a row. We need you to be present for your entire shift. Don’t schedule yourself for 4 hours straight if you know you’re going to have to eat, drink, or use the restroom at some point in that 4-hour stretch.
- All booth support shifts must be completed in 1-hour increments. You’re likely going to be on your feet the whole time; plan breaks accordingly. Expect to be at the booth for the entirety of your shift--show up early to check-in and find out which space you’ll work in, and don’t expect to leave early.
- Please don't schedule a costume and booth staff back-to-back (I will have to message you and ask which one you prefer) as there isn't a way to get in/out of costume that fast (unless you are a face character! Then you are good to go in any spot
- When you post your signup hours, please say if you have or need a ticket....thank you! :D
A bit about each role in the booth - Please note: we may need to shift booth roles during a shift to cover any gaps.
- Info Table: Actively greet and interact with guests who stop by the booth. Field general questions about who we are, what we do, fundraising for our partnered charity, what’s happening at the booth, how to become a member, etc.
- Raffle Table: Sell raffle tickets. Explain raffle to guests and answer any questions. Help coordinate raffle drawings. Maintain the neatness and security of the raffle area. Be comfortable with handling cash, calculating total and change amounts in your head, and handling electronic payments methods (Square reader).
- Booth Support: you could be asked to assist with taking guest photos with characters, entrance/exit assistance, overall crowd control, miscellaneous overall assistance as needed in the various areas
WHAT ABOUT SETUP AND TEARDOWN?
- We will be setting up on Thursday (Time unknown) and tearing down Sunday after the con ends (5pm). Daily booth setup and cleanup will happen before and after con hours on Friday, Saturday, and Sunday.
- There is a tab on the signup sheet for SetUp/TearDown if you would like to help.
WHAT SHOULD YOU WEAR
- A Cloud City Garrison or Kashyyyk Base branded shirt
- A Star Wars Oregon Mission Support Shirt. Here is the link if you would like to purchase one, just scroll down to the Mission Support Shirts: https://starwarsoregon.myspreadshop.com/?noCache=true&fbclid=IwAR2yELIkXzfYto0yXV6iQhMqRSteTPjsYCXkozlTNa40V9hMIu-ilEqB-aU

My bad, let me hop in there and add another spot.

Exciting! Just to clarify, if we want a three day discounted badge we need to sign up for at least the minimum hours all three days, correct? Also, do we know what the discount on the badges will be yet?
Thanks!

We don't know the prices yet. Hopefully soon. For Friday and Sunday tickets you'll need to signup for at least 2 hours those days and 3 hours on Saturday.

I am undecided if I want to go Saturday and Sunday this year. Do want to go through. Will make up my mind when we can get the pricing.
-
Grabbed a bunch of preliminary shifts. Will fill in more as we get closer. Will need a pass all three days. Thanks!
-
I put Garrett and myself down for all three days, we would need passes for all three as well please and thank you! :)
-
Hi everyone! I am available for all 3 days, set up and tear down as well. Gunner outfit for sure, and possibly ANH TK if it’s done and approved by then. I will help and dress up wherever/whenever needed!
I will be bouncing a few times a day to volunteer at the sensory booth and quiet room for Autism Society Oregon for my breaks. I am going to be there before the con opens in the mornings and staying for all 3 days. No set schedule other than when they schedule me with my Hayden Christensen meetup Saturday.
As far as passes, I most likely have one from ASO to help free up a badge for another 501st member!

Appreciate any help you'd like to give to our area. It's most ideal for you to sign up for shifts so we know when people are available and where we have gaps. You're also always welcome to come to the area and find the admin on duty at the time to see if they could use any extra volunteers.

I signed up for preliminary shifts to cover required hours as I will need a pass. I'll be there all day every day, so will fill in gaps as needed as we get closer to con dates. Also signed up for set up and tear down.
-
I also signed up for some shifts but will be around and available to help all weekend. I'll need a pass too please and thank you!
-
I will need a pass also. Still uncertain what days I want to go yet though. Will fill in shifts were needed though.
-
I need to wait for the times for the photo op and autograph with Hayden before signing up to help. Also, I think I will end up purchasing a regular pass, it might be easier for me. I'm not sure, I'm still thinking about it, lol

We will need you to sign up for the minimum hour of shifts on the day you decide by the deadline noted in the original post.
We understand many may be available most of the day(s) they attend, but we need some specific committed spots to know when we can count on people being there and therefore where the gaps are.

I understand that. I am waiting to find the price of the badges. It will most likely be Saturday though. I can fill myself in now for Saturday and it is possible to change times as needed based on any guest photo ops I may want to attend? I mean I might do both days again also but at this moment I am leaning towards just Saturday. I added myself in for time slots on Saturday. Will probably add some costume slots in also and that will be based on the guest list also. If I do decide on Sunday also. I'll make sure to fill in booth time for that day also. For me money is a little tighter this year. Why I got to decide which day or days.

All signed up!

Perfect! I signed up for a few spots, and Saturday I may have to change something if it conflicts when they assign my Anakin autograph/photo time slot. But between 501st and Autism Society volunteering, I will hopefully stay busy enough not to spend all my money! ????
-
Just signed up for shifts on all 3 days. I'll definitely sign up for more slots as we get closer to the con. I just did the minimum required for a pass, for now, until I better know my plans for those days. I will need one three day pass :)
-
Signed up for enough hours I believe for all 3 days plus all day setup and teardown.. I'm getting a uhaul for load in from the east side as well as load out to east side
-
Added my slots for Saturday! I'm not sure about my Friday/Sunday availability, but will update the sheet as soon as I know more.
-
Signed up all three days, Have to leave before tear down on Friday due to Vacation starting next day. Will need pass all three days.
-
Marnie and I will be there Saturday and Sunday. Sunday we need to leave early to drive home to La Pine. Saturday we can fill in as needed once we get there. Probably bring our Scouts, but I might bring my pilot as well. We would need tickets.

I signed up for shifts all 3 days plus set up and tear down. I also just plan to be around the whole time to help where ever I can. I might even have my TK done by then. :tk:
-
Signed up for a couple of slots for now. Got my own badge for the con. Might just need an exhibitor one for setup and teardown if they're gonna be sticklers for that.
-
Signed up for two shifts Saturday as sandtrooper :tk:. Coming down from Bremerton and lookng forward to it. Mitch H.
-
I think Saturday is going to be the only day I can make it. If I can get a discounted Saturday pass, that would be awesome. If not, I'll just get one when I buy one for my partner. She'll be there too, just not with the garrison.

Weapons policy question- should I leave the e-11 blaster home? Does it look like a real weapon and is therefore prohibited? Thx

E-11s have not been an issue in the past, but they require you to be safety checked.
-
Added our friends Kelsey and Jeremy Birtola to help out with raffle and support. Kelsey will do all three days, and Jeremy will do Sat-Sun, and they'll both need badges please.
I've put them down for shifts, but they are hard workers so they are happy to move around as needed.
-

-
I’m not working the show this year so I do each day all day as long as I can take random breaks. I’m thinking mando unless we need another character that I have.
-
Signing up my wife, sister-in-law and myself for shifts on Friday...2-3pm. We may pick up another shift Friday but that is TBD.
We'll have costumes and racers along so can be flexible if we need to be moved around.

Hello. I'm terrible with forums. Really bad in fact.
So my husband and I are planning on coming down from Vancouver Island for the three days .
Im assuming things will be organized different in OR.
Please bear with us we are old....I saw something about discounted passes.
How much do we have to pay to troop?
We can do all three days
Don't want to sound like pain. But would it be OK if someone could possibly contact me to clarify things so I don't get things wrong when we sign up.
Thanks and fingers crossed.
I found this page so there is hope for us yet.
Jason and Rick

Getting there early is the way to go if you want to ensure a parking spot, it tends to fill up quickly.

I can staff the raffle table on Sunday from 2-4 PM. I’ll send PP for pass shortly.

Payment just sent for the 3 day pass on Venmo.

So wife and SiS said they were good for another shift... so please add Rob Csorba (501st/GT), Teresa Csorba (501st/GT) and Marcia Lins (501st/GT) to Friday 3-4pm SWO Support.
-
I would love to sign up as support for Friday (maybe, depending on when I get into Portland from Klamath) and Saturday. I still haven't received an email about the photo op times for Hayden and Rosario so I was going to wait to sign up as support unless you want me to do that anyways and make any changes once I receive the photo op schedule.
I did try signing up on the spreadsheet and it wouldn't let me type in my name. It's been a while since I signed up for RCCC so I might be doing something wrong, haha!
I already have my 3-day badge. :)
Also, I would like to attend to the social dinner!

I was planning to fill in some costume booth time with Revan. Since I learned last year, that Revan fogs up and heats up way fast at the RCCC. Not sure what times though. I left it blank for now though. Might run around the floor with the ISB officer too.
-
My partner Mandi will also be around for anything that might be needed. She'll be there the same hours as my shifts (11am-3pm Saturday) and she already has a badge.
-
I'm happy to fill in any shifts. I can do as many hours as needed. I only have one approved costume, a generic Jedi. Stick me where ever you need me! I already have a three day pass, and I have plenty of retail / expo experience (I'm good with selling raffle tickets, etc).
-
Angel, our point person at Randall, has asked if she could be rostered to help us out where needed on Sunday 11-12pm, and then probably stay to help out the rest of the afternoon and with load out as well.
-
Hello, I like to add two shifts for Sunday
Like to do the roaming as Kylo from 11am to 12 PM
And then support booth from 2 to 3 PM.
Also, my autograph session for Hayden is at 4:30 on Saturday and I have a shift at 5 o’clock. Would that still work out if I’m in a little late or no if not, then I can switch it to helping out with the jail from 2 to 3 if that does not work out, thanks.

I'm coming! Looking forward to seeing/meeting people up that way! Plan is to drive up there Friday morning and back down Saturday evening. Looking to be there in my Cloud City Leia on Saturday, with Friday as a maybe but probably not on costuming (due to travel).
Details of help with shifts are being worked out, but expecting I'll be picking some of those up.
Even though my time is limited due to travel plans, I'm keeping my eyes peeled regarding hangout opportunities, too. Not sure if I can make the thing at the Hyatt due to driving back that evening, but that'll just depend on whatever time it gets set for, and seeing how everything else falls out. Hoping maybe I can catch something, whether at the Hyatt or otherwise, even if only briefly... fingers crossed. :)
I was also looking at this RCCC planning thread (https://www.cloudcitygarrison.com/forum/index.php?topic=14590.0) and saw mention of trying to get a group photo. Is that happening? Do we have any details, or are details TBD?

Sign up sheet is view only, tried to sign up for
Roaming/Directing Traffic - Costume (any partnered club member) 4-5PM on Saturday as Han Solo (SWO)
-
Just a reminder that the sign up sheet is locked and has been for some time. We had a deadline of when we needed to tell Rose City about our ticket needs so we could figure out the amount of discounted badges they would allow us to purchase. If you missed that sign up date, then we don't have a badge for you. You're still welcome to come and help, but we are all out of our discounted badges.
-
FYI I'll be going as a Tie Pilot/Bridge Crew instead of an Officer as originally planned.
They say it is going to be nearly 100 degrees and the material on my flight suit is the thinner option.

Thanks for the clarification there, I was wondering myself. Like I said, I'll be there roaming, just grab me if you need me somewhere specific. Happy to help! :)

You're all good! Make sure you find me and say hi and we'll put you to work, but also make sure you can enjoy the con! Looking forward to meeting you!

Saturday - Roaming - 11am-1pm
Sunday - Roaming - 11am-1pm
I'll be there as a TIE.
On Saturday besides the time I'm signed up I'll be with family, but on Sunday it will just be me, and I can fill in anywhere that is needed outside of the times I already have.

I have a change to my Saturday afternoon plans and will not be at the Con in the afternoon. All my other times are still good.
With the weekends changing again I didn't put the dates together with another event I knew would take place and I need to attend.
I tried to update it but it is View Only
I have my own Pro badge.

Not a problem Macy. Thank you for all your help over the weekend. We appreciate it so much.

I may be overlooking this so sorry if my question has been answered:
What time is set up Thursday? Is parking Thursday just in the regular convention lot?

Parking is in the convention center. As to timing, I'm not sure when our loading group plans to be there. I'll let one of them answer this and I'll try to get an answer as well and will post an update once the timing is confirmed.

Good morning all! Counting down the hours now! Well have multiple teams coming from multiple areas for Thursday load-in and set up. Missy will be there around 10 am and will pick up the badges.
We have a team of Luke, Mike K, and Buckner coming in from Gresham with the big truck with A good chunk of CCG/RL items (cantina, droid bar, BoBF throne, robots, some mannequins, the Con bin, etc.). That team is aiming to be at the loading dock around 11:30 and noon.
We have a second team of myself, Anthony, and Joe C coming from Salmon Creek and we will be bringing C3P0, IG88, R2D2, and a pair of ewoks. That team is aiming to be there around 11 so we can be unloaded and ready to help when the big truck gets there.
We have Greg coming down from Titan with the speeder bike and backdrop. I'm not certain of his timing.
We have Jamie from Outer rim coming from his house on the west side. He is self contained but we'll be ready to help him when he arrives.
We have another load coming in from the west side with the Death Star walls, xwing, etc. I'm not sure on their timing at this point.
Most important, come ready to help so we can get off the docks as quick as we can since it's supposed to be above 100 degrees out. Take breaks and stay hydrated. Thank you to everybody that's put in hours and hours of work to get us to this point. It's going to be an epic weekend!!!

I'm coming down from Olympia with the speederbike setup and plan to arrive by noon, but can arrive earlier. Unloading is maybe 10 minutes, everything is hand-carry friendly. Can anyone tell me where the load-in area is?
Thanks, looking forward to contributing to your event!

No specific slot for the dock. If asked, you just tell them you're part of the Star Wars experience in rooms B113-116

Hey, so for Friday shift, I said I would do Dooku, but I might have to change that to my staff officer if that is not a issue

I put it off too long and did not get a chance to slot time in on the Google Sheet... That said, I'm planning on showing up Friday sometime after noon for a couple of hours to be utilized as needed. I'll also be in costume as Mando on Saturday afternoon to roam around, direct traffic, or in any other capacity needed.
Looking forward to seeing everyone this weekend.
Cheers
Steve

I'm running a bit late but I'll be there. I already have my own pass. See you all soon! <3

Good morning. My name is max I’m from garrison Titan and I would like to signup for a shift
Sunday 11-noon at swo info booth. If possible. I will only be down for Sunday.
-
Who do we contact for a badge in the AM? I am going to try and be early and get to the parking garage again. Last year they let me in without a pass at the check in when asked if I was a vendor. Helped I was wearing my ISB officer and had Revan in my tote box. I may run around some as Revan when not helping with the booth, that or the ISB officer. I was uncertain and didnt sign up with a costume. I dont see anyone signed up as Revan though, so looks good to go. I had to take breaks to cool off with Revan last year, part of why I wasnt sure what costume to bring this year.
-
The sign-up sheet has contact info at the bottom of each day.
-
Looks like the schedule is a little light on some booth support today (Sunday). Please add me 12pm-2pm in my Rebel Pilot costume.
I have my own badge.

Thanks for having me and my Garrison Titan friends down to help. The speederbike survived the weekend with only a few repairs, thanks Andrew for your welding skills, and I know I speak for many of us when I say your groups are great to hang out with. We look forward to doing more of this! It was my first Rose City comicon and I hope not my last.

I'd like to thank all of you for being so welcoming and fun! I had a great time and will definitely try to make this my yearly trip here ????
I would love to see pictures! Please feel free to look me up on Facebook or tag me on Instagram (Stardustnglitter) . Thank you again! You all are amazing!
-
Thank you for joining us Lucy, it was great to meet you! Huge thanks to all y’all who came down from GT and other garrisons too! It was great hanging with you guys and you were all awesome!
Let’s do this again!
-
Thank you a great weekend. Coming down from GT for only my 3rd event ever I was a little nervous, but Angela and Matt helped me gear up in my sandtrooper gear and everyone I met was so nice. I was also highly impressed with the quality of the exhibit. After my two shifts I came back through the exhibit with my two boys and got to really look at it up close. They were also very impressed as well. Thanks again and I look forward to coming down for future events since my boys live in Vancouver.

Oh look! A photo link! I added a small handful of what I had available. :)

Wanted to put out a HUGE THANK YOU to all the people working behind the scenes for MONTHS to put this whole shindig together. Amazing job and you should all be extremely proud of the hard work (and time and money) you put in to make this happen and get such amazing results not only for Magic Wheelchair, but for RCCC, all the happy children of all ages that came through the Experience, and of course, all of us who got to participate all weekend! Getting to spend a weekend hanging out with such wonderful people is truly a blessing and an honor and I'm so grateful that I get to be a part of this. And so many thank yous to all of the volunteers who helped out all weekend, it can't happen without all of you.
Seeing how far we've come since that first year in the basement of the DoubleTree is pretty crazy. Phenomenal job all!
